Where is the corporate data stored?

The corporate employee data are stored securely in cloud database. You can deploy the app in your own private cloud or within your company firewalls. The app doesn't store any data in the mobile device.

Is there any restriction with the email id or passwords that can be used for loging in to the app?

To provide increased security and prevent unauthorized access, the corporate administrator from your organization can define the restrictions on the email ids and the passwords which can be used. Your administrator can restrict login with only the corporate email id and can also put certain restrictions on the minimum no of characters the password have to be, what special characters the password needs to contain etc.

Can I use this application from any device of my choice?

To provide increased security and prevent unauthorized access, your corporate administrator can control whether the app can be accessed from any device or only from registered devices. If the app is restricted to be used from only registered devices then the administrator can control up to how many maximum devices can be registered for each registered user.

Can I login from multiple devices at the same time?

To provide increased security and prevent unauthorized access, you will be automatically logged out from the device where in you had logged in earlier. This will notify the user if someone unauthorized is attempting to use the app from any other device.

How can I quickly create a Time Sheet?

Login -> Home screen -> Create -> Go to create time sheet. In the Time sheet you can specify the period for which you are creating the Time sheet. You can then add times / tasks for specific dates within the Time sheet period. While entering the task you can specify the Time from and Time To, Task Type, Work Type and other details in the Time entry form. Many of the field values are defaulted from the user's default values which will speed up the creation of the Time sheet.

How can I capture Customer / client name in the individual times entered in a Time sheet?

You can enter several Times / Tasks for the same day in a Time sheet. While entering the Time / Task for a Time sheet you can specify the Client Name and Project Name for that specific Time / Task. This provides you the flexibility to log times for various clients and Projects for the same day in the same Time sheet.

Can I copy time entered for a day to other days of the Time sheet?

The Time Sheet mobile application has many features which make the creation of time sheet and entry of times / tasks a breeze. Copy of Times entered for a day to other days within the Time Sheet From / to dates is possible. While entering the Times in the Add Time screen, tap on copy day icon. This will bring up a pop up with an option to select the dates to which you want to copy the tasks. Select the dates and copy. This will copy all the tasks of the day to all the dates you had selected in the date selector pop up.

Can I delete the times for a particular day in a Time sheet?

Yes, you can delete the Times for a particular day in the Time sheet provided the Time sheet has not been approved or rejected by the approving manager. Home > View > List of time sheet (the desired view period from the list)> period view > select the day view for that date. This will bring you to the day view of the specific date selected and you will see all the tasks logged for that day listed as bars. Tap on the delete icon next to the Task you want to delete. This will bring a pop up and once you confirm that you want to delete the task, the same will be deleted.

What if I want to enter a client name or project name not available in a selection?

You can enter several Times / Tasks for the same day in a Time sheet. While entering the Time / Task for a Time sheet you can specify the Client Name and Project Name for that specific Time / Task. This provides you the flexibility to log times for various clients and Projects for the same day in the same Time sheet.

How can I capture Customer / client name in the individual times entered in a Time sheet?

If you are logging a time / task for a client or project which is not in the list of available clients / projects then you need to contact your company administrator and request an entry of the same from the admin panel. The administrator can login to the admin panel with administrator credentials and follow the steps below: 1. Define Projects: Enter the new project name here and save. 2. Define Clients: Enter the new client name here and save.

What will happen if I accidentally click on delete button in a time sheet?

It will give you an "Alert", which will tell you that, do you want to delete the time sheet. There are 2 options 'ok' & 'cancel'. If you click on OK, it will delete the Task in the Time sheet. If you click on "Cancel" it will cancel the deletion process.

Can I create a Timesheet without submitting it?

Yes, when we create a timesheet, it is always created in Open status.

How can I see a list of my Time sheets submitted?

You can see a list of the Time sheets submitted by following the steps below: Login -> Home screen -> View. This will bring you to the screen where Time Sheets created by you are listed. You can filter this list by "By Period" & "By Status". You tap on "By Status", we will get a pop up with 5 options ('open', 'Submitted', 'Resubmit', 'Approved', 'Rejected'). Select Submitted. This will filter the list to all the Time sheets you have created and submitted for approvals but have not yet been approved or rejected.

How can I easily view the times entered for a specific day of the Time sheet?

You can see a list of the Time sheets submitted by following the steps below: Login -> Home screen -> View. This will bring you to the screen where Time Sheets created by you are listed. Tap on period view against the Time sheet the details of which you would like to view. This will bring you to "Period View" of the Time sheet where the total Times entered for each date are listed. Tap on "View day" for that specific date for which you want to view the list of tasks and you will be taken to the

How can I submit a Time sheet?

You can approve a Time sheet only if you are the determined approver for the time sheet. Login to the app with your login credentials and you will come to the home screen. Follow the navigation below 1. Home > View > List of time sheet > Select period view > In this screen tap on the 'Submit' button to submit the time sheet. 2. Home > View > List of time sheet > Select the timesheet or timesheets which are needed to be submitted. And then select submit button in the bottom of the screen.

Can I change my approver?

No, you cannot change your approver. Only an 'Administrator' can do that from the Admin panel.

Can I change a Timesheet after submitting a Time sheet?

You can change a time sheet till the time sheet has been approved or rejected by the approver. To edit a time sheet follow the navigation below: Home > View > List of time sheet >period view > select the day view for a specific date> then select the Task and click on EDIT. Change the values as per your requirement and then save it.

How will I know if my approver has approved the Time sheet?

The status of the timesheet will be 'Approved'.

How I maintain default data for my usage?

At first complete the registration by the App through the "Registration here" in the Login Page of the App. Then Login the App > Home (Create section) > select Create > on the right of the screen just beside the Home sign, we have NCRTS logo > select that and we will get a dropdown, there you will get an option called "Default Setting". In this we can set a set of default values, these values will remain same for a particular user when the app runs next time.

Do I need to login each time I use the app?

Yes, we need to login and log out every time for the secured use of the App.

What if I forget my password?

In the Login Screen at the bottom, we can see a "Forgot Password" option. Select it we will get a pop up, where we need to write our e-mail Id (User ID) and send it to reset the password.

Is there a max no of administrators allowed?

There is no limit on the maximum no of administrators allowed. However it is a good practice to have not more than 2-3 administrators from one organization. This will ensure accountability of the application configuration and set up.

How can I register a new user for the app?

We can do that from Company Admin (CD). In both the Panel we have Register User. Company Admin (CD) > Register User. Fill in the User registration form with correct information and then Save. The new user is registered and you will see the new user in the list of registered user for your company.

How can I update the user credentials?

Go to the Company Admin (CD) > List of Registered User > Edit button (on the left hand side of the each user) > select it > then edit the credentials and save it.

What parameters can I set from admin which will be used in the app?

As an admin you can define several parameters which control the behavior of the application. You can define task types, work types, manage the list of clients and projects for which the Time sheets will be filled in, manage approvers for the users among many other things.

How can I deregister a user?

Internal Admin (IA) > List of Registered User > Red Delete Button (at the end of the each user List) > select it > that particular user will be removed. So, the user will be deregistered.
